7 Questions to Ask Before Choosing an Email Marketing Platform

Pricing models, deliverability and automation: what to check before you move your list.

Switching email platforms is painful. You re-import contacts, rebuild automations, re-verify your domain and hope nothing breaks your deliverability on the way. That's why the choice deserves a structured look before you commit. These are the seven questions I go through with clients.

1. How does the pricing scale with my list?

Most platforms charge by subscriber count, some by emails sent, and a few by features. Model your cost at today's list size and at three times that size. A platform that is cheap at 1,000 contacts can become one of your biggest software bills at 15,000. Also check whether unsubscribed or inactive contacts still count toward your limit.

2. What does deliverability support look like?

Your emails only matter if they reach the inbox. Ask whether the platform supports authenticating your own domain (SPF, DKIM and DMARC), whether you can send from a dedicated IP at higher volumes, and how the provider handles accounts that damage shared sending reputation. Providers that take compliance seriously tend to protect your deliverability too.

3. Can the automation handle my real use cases?

Write down the three automations you need first, such as a welcome series, a lead magnet delivery and a re-engagement sequence. Then build them during the trial. Visual builders look similar on a demo; the differences show up in conditions, tags and how easily you can edit a live sequence.

4. How good are segmentation and tagging?

Sending the right email to the right people beats sending more email. Check whether you can segment by behavior (opens, clicks, purchases), by custom fields and by tags, and whether segments update automatically.

5. Does it connect to the rest of my stack?

List the tools that need to send data to your email platform: your website forms, landing page builder, CRM, checkout or course platform. Native integrations are more reliable than workarounds through third-party automation tools, and they're cheaper to maintain.

6. How easy is it to stay compliant?

For a US audience, every commercial email needs a working unsubscribe link and a valid physical mailing address under the CAN-SPAM Act. A good platform handles this by default, supports double opt-in when you want it, and keeps clear records of how each subscriber joined.

7. What happens if I leave?

Check that you can export contacts with their tags, custom fields and subscription status. If you can only export a plain email list, moving later will cost you your segmentation work.

Quick scorecard

Give each platform a score from 1 to 5 on these seven questions, weighting deliverability and automation double. The highest total is usually the right choice, even if it isn't the cheapest on day one.
